Group Placements + Custom Reservations

The Hands On Atlanta platform easily facilitates group engagement at your projects. Our team places groups at opportunities on the calendar, using the ‘Custom Reservation’ feature. You can do this yourself, as well!

The process of creating custom reservations is super quick. While viewing an opportunity in the Hands On Atlanta dashboard, find the relevant action in the toolbar:

And then you will be presented with the following pop up:

Here are some tips and explanations for these fields:

• Entity Name: name of the company/group
• Contact Email: email address of the group’s lead. This individual will receive an automatic email from the system with a special link that they can then distribute to their group members to register on.
• Number of Spots Reserved: total # of spots you’re reserving for the group.
  
  

You can create multiple custom reservations under a single opportunity. Please be aware that you should never have two matching entity names under the same timeslot.

You’ll want to copy the link that is created once you input that information. That’s the registration link for the group’s members. And then you’ll want to send an email like the below, directly to the group lead:

Our organization is so excited to have your company volunteer with us next month! Everyone in your group must register individually – please share this link with your team. By registering, they will be able to see the exact address and receive the confirmation + reminder emails, which includes need-to-know pre-project information. Y’all will have 2 weeks to claim all the reserved spots. Any spots left open will be released at that point for other community members to claim.

As the group’s lead, you will receive an email from [email protected] for each project, which’ll include a link to view the full registration. This allows you to see your team register in real time! In the email, click the blue ‘Manage Group’ button. 

This takes you to a page which displays a list of those who have registered. You can bookmark this page, and it will continuously update as new team members register.

We do encourage setting a registration deadline, and monitoring the registration numbers up until then. Once the deadline has passed, you can then release the unclaimed spots in the reservation (simply reduce the # of spots in the reservation to the # of actual registrations. The unclaimed spots will then be open + public again)
